Setup guides and answers to common questions.

Getting started

1. Create your account

Sign up at teamtransit.app/register with your school email and enter your school or organization name.

2. Add vehicles and drivers

Open Fleet & Drivers in the sidebar. Add your buses, vans and drivers with their CDL details and phone numbers.

3. Create your first trip

  1. Click Trips in the sidebar.
  2. Click New Trip.
  3. Fill in the event name, date, destination and departure time.
  4. Assign a vehicle and driver.
  5. Add passengers to the manifest, with guardian emails if you want parents notified.
  6. Save. The trip shows as scheduled.

4. Import a schedule you already have

Open Import Schedule in the sidebar. Upload a CSV or Excel file, or paste rows from Google Sheets. TeamTransit matches your columns, and you can change any match before importing.

5. Turn on parent notifications

Add guardian emails to a trip’s passenger manifest. Parents then get an email when the bus departs, arrives or runs late, plus a link to see every upcoming trip.

Common questions

Do I need to install anything?
No. TeamTransit runs in any web browser on a computer, tablet or phone. Drivers use a link on their phone, and parents use the link in their notification email.
Can coaches submit trip requests?
Yes. Team members with the viewer role can create trip requests. An admin or manager approves or rejects each one, and the coach gets notified either way.
How do parent notifications work?
Add guardian contacts to a trip’s passenger manifest. Each guardian gets an email when the bus departs, arrives or runs late, plus a personal link to see upcoming trips without logging in.
How does the driver portal work?
On the Fleet & Drivers page, create a portal link for each driver. The driver opens it on their phone to see assigned trips and manifests, then taps Mark Departed or Mark Arrived. Parents get notified at each step.
Can I import my schedule from a spreadsheet?
Yes. Smart Import accepts CSV, Excel (XLSX) or rows pasted from Google Sheets. It recognizes common column names such as Date, Event, Destination, Sport, Vehicle and Driver, and you can change any match before importing.
What are pre-trip inspections?
A 33-item vehicle checklist modeled on the federal DOT driver inspection. Drivers complete it before departure. Any failed item shows on the compliance dashboard. Inspections come with the Starter plan and above.
How do recurring trips work?
Open a trip and click Create Recurring. Pick weekly, every two weeks or monthly, and how many copies you want (up to 20). TeamTransit copies the event, destination, vehicle and driver, and skips any date that already has a trip with the same name.
Is my data secure?
Every page loads over an encrypted connection, and the servers are in the United States. Stripe handles card payments, so card numbers never touch TeamTransit. School and student data is never sold or shared for marketing. Read the Privacy Policy for details.
What happens when I reach my plan’s limit?
The Free plan includes 5 trips a month, 1 user and 2 vehicles. At a limit, TeamTransit tells you which plan adds room. Nothing gets deleted: you can add more again next month or after you upgrade.
